How to reduce rent arrears: reminders, late fees and clear statements
Most late rent is not refusal to pay. It is forgetting, confusion about the amount, or a dispute about an earlier month. Each of these has a simple fix, and none of them needs you to phone tenants every month.
1. Invoice on the same day every month
Send each tenant an invoice a few days before rent is due, showing rent, any charges (water, garbage, service charge), any balance carried forward and exactly how to pay. When the amount and the date never surprise anyone, payments come in earlier.
2. Remind before, on and after the due date
A short, polite reminder works best at three points:
- 3 days before the due date: "Your rent of KES 18,000 is due on the 5th."
- On the due date: a reminder with the Paybill and account number.
- 3 days late: an overdue notice with the balance, sent once, not every day.
The app sends these three reminders by email automatically and skips tenants who have already paid. You can switch reminders off for your account at any time.
3. A late fee that is written down and applied once
If your tenancy agreement includes a late payment fee, apply it the same way every time: either a fixed amount (for example KES 500) or a percentage of the unpaid balance, added once the day after the due date. Consistency matters more than size; tenants accept a fee they knew about.
4. Statements end disputes
Most arguments are about "I paid in March". A statement that lists every invoice and every payment, with M-Pesa codes and dates, settles them in a minute. Share one with any tenant who disputes a balance.
5. Watch arrears by age, not just the total
KES 60,000 of arrears spread over ten tenants who are a week late is very different from one tenant who has not paid for three months. Group arrears into 0–30, 31–60, 61–90 and 90+ days and act on the oldest first.
6. Make paying easy
Every step you remove increases on-time payment. A Paybill with the unit number as the account number is good; an M-Pesa prompt that already has everything filled in is better. See collecting rent by Paybill.
