Choosing rent management software in Kenya: what actually matters
Spreadsheets and notebooks work until you have more than a handful of units. After that, missed payments, wrong balances and arguments about water bills cost more than any software subscription. Here is what to look for when choosing a rent management system in Kenya.
1. Rent goes to your own Paybill
Some platforms collect rent into their own account and pay you later. That adds delay, fees and risk. Prefer a system where tenants pay straight into your Paybill or Till and the software only receives the payment notification.
2. Payments are matched automatically
The system should read the account number and phone number of each M-Pesa payment, apply it to the right tenant, issue a receipt and show anything it could not match. If you still have to type payments in from M-Pesa messages, you have not saved much time.
3. Invoices, charges and late fees on autopilot
Look for monthly invoices raised automatically on each lease's billing day, a first month worked out for the days actually occupied, recurring charges (garbage, service charge), metered water and late fees written into each lease.
4. Tenants can help themselves
A tenant portal where tenants see their balance, download statements, pay by M-Pesa prompt and report repairs saves you dozens of phone calls a month. Sign-in should be simple: a one-time code by email or SMS beats another password.
5. Roles for your team
Managers who can do everything, and caretakers who only see the buildings they manage and never see the money. See managing caretakers.
6. Reports you will actually use
- Collections per month and per property.
- Arrears grouped by how late they are.
- Occupancy and vacant units.
- A rent roll you can export to Excel for your accountant.
7. Pricing that fits your size
Pricing by number of units is the fairest: a landlord with eight bedsitters should not pay what an agency with 500 units pays. Check there is a free tier or trial so you can try it with real tenants first.
